Privacy Policy

This Privacy Policy (the "Policy") describes how Red Panda Technology Inc ("Company", "we", "us", or "our") collects, uses, discloses, and otherwise processes Personal Information in connection with:
- the Quartz email applications for macOS and iOS (the "App"); and
- the website located at quartzmail.ai, including the product waitlist (the "Site").
The App and the Site are collectively referred to as the "Services." In this Policy, "Personal Information" has the meaning given to it by applicable privacy and data-protection laws.
1. The App
1.1 Connection to your email account
The App enables you to access an email account you control with a supported email provider (each, an "Email Provider"). You authorize the App to connect to your account at the Email Provider using industry-standard authorization protocols and to act on your behalf for the purposes you direct through the App, including reading messages and metadata, sending messages, modifying message state, and managing labels and folders.
Authorization credentials issued to the App by your Email Provider (such as access tokens and refresh tokens) are stored locally on your device and are not transmitted to any server operated by the Company. You may revoke the App's access at any time through your Email Provider's account settings.
Where the App accesses Personal Information that originates from an Email Provider, the Company's use and transfer of that information will adhere to the applicable terms of that Email Provider, including any limited-use or restricted-use requirements that govern data accessed through the Provider's application-programming interfaces.
1.2 Local processing and storage
The App is a local-first email client. To enable the App to function (including offline), the App downloads and caches your messages, threads, attachments, labels, and related metadata in a local data store on your device. This local store, and any cached attachments, reside within the App's sandboxed data and cache directories on your device. The Company does not maintain a server that receives, stores, or processes your email content.
1.3 Artificial-intelligence features
The App offers features that use artificial-intelligence ("AI") models to categorize messages and assist in drafting replies (the "AI Features"). You can choose how AI Features are powered:
- On-device processing (default). An AI model runs locally on your device using your device's hardware acceleration. The relevant message text is processed on your device only and is not transmitted to any external party for inference.
- Third-party AI processing (optional, off by default). If you expressly elect to enable a third-party AI provider (a "Third-Party AI Provider") and supply the credentials required to do so, you authorize the App to transmit the relevant message text to that Third-Party AI Provider for inference. Any such transmission is performed at your direction and is governed by the terms and privacy policy of the Third-Party AI Provider you select. The Company is not responsible for the practices of any Third-Party AI Provider.
1.4 No analytics, telemetry, or crash reporting in the App
The App does not incorporate any usage-analytics, telemetry, or crash-reporting functionality. The Company does not collect information about your in-App activity, performance events, or errors unless you affirmatively transmit it to us (for example, by sending us a support message).
1.5 Updates
The App periodically checks for software updates through the update mechanism applicable to the relevant platform. On macOS, this check is made against an update-distribution endpoint operated on the Company's behalf by a third-party hosting provider. On iOS, updates are delivered through the Apple App Store under Apple's standard terms. Routine network metadata visible to the operator of an update endpoint (such as IP address and user agent) may be incidentally observed in connection with such checks; the Company does not log or retain such metadata.
1.6 Account disconnection and deletion
You may disconnect any account from within the App at any time, which will delete the corresponding authorization credentials and locally cached data associated with that account. Uninstalling the App removes the App and the local data associated with the App from your device.
2. The Site
2.1 Waitlist
If you submit your email address through the Site's waitlist form, the Company collects that email address and processes it through a third-party email-distribution service in order to send you product communications (including launch and update notices). You may unsubscribe from such communications at any time using the unsubscribe link contained in any message we send.
2.2 Analytics
The Site uses a third-party product-analytics service to collect aggregate usage information about visitor interactions with the Site (such as page views, click events, device or browser type, and approximate location derived from IP address). This service is used solely in connection with the Site and is not present in the App.
2.3 Server logs
Our hosting provider maintains standard server access logs (which may include timestamps, IP addresses, requested paths, and user-agent strings) for operational, security, and abuse-prevention purposes.
3. Purposes of processing
We process Personal Information for the following purposes:
- to provide, maintain, and operate the Services;
- to communicate with you, including to send product updates if you have joined the waitlist and to respond to your inquiries;
- to understand aggregate use of, and to improve, the Site;
- to ensure the security and integrity of the Services;
- to comply with applicable law and to enforce our agreements; and
- for any other purpose disclosed to you at the time of collection or to which you consent.
4. Legal bases for processing
Where applicable law requires a legal basis to process Personal Information, we rely on one or more of the following: the performance of a contract with you (including the provision of the Services); your consent (which you may withdraw at any time); our legitimate interests (including in operating, securing, and improving the Services), where such interests are not overridden by your rights and freedoms; and compliance with our legal obligations.
5. Disclosure of Personal Information
We do not sell Personal Information. We may disclose Personal Information only:
- to service providers and processors who perform services on our behalf (such as hosting, email distribution, and product analytics) under written confidentiality and data-processing obligations;
- to the Email Provider you have connected to the App and, where you have enabled it, to the Third-Party AI Provider you have selected;
- to a successor entity in connection with a merger, acquisition, reorganization, financing, sale of assets, or insolvency, subject to customary confidentiality protections;
- to comply with applicable law, valid legal process, or lawful requests of government authorities; and
- to protect the rights, property, or safety of the Company, our users, or others, or to investigate and prevent fraud, abuse, or violations of our terms.
6. Storage location and security
Personal Information processed by the App is stored locally on your device. The Company relies on the file-system and sandboxing protections provided by your operating system, and on any device-level encryption that you have enabled on your device. You are responsible for the physical and access security of your device, including the use of strong authentication and full-disk encryption where available.
Personal Information that we receive in connection with the Site is held by us and by our service providers in accordance with applicable security standards. We implement and maintain administrative, technical, and physical safeguards designed to protect Personal Information against loss, misuse, unauthorized access, alteration, or destruction. No method of transmission or storage, however, is completely secure, and we cannot guarantee the absolute security of Personal Information.
7. Retention
Personal Information stored locally by the App is retained on your device for as long as the associated account remains connected, and is deleted when you disconnect the account or uninstall the App. Personal Information collected in connection with the Site (such as waitlist email addresses and analytics data) is retained for the period necessary to fulfill the purposes described in this Policy, or for such longer period as may be required or permitted by applicable law.
8. Your rights
Subject to applicable law, you may have rights regarding the Personal Information we hold about you, including the right to access, correct, delete, restrict or object to the processing of, or port your Personal Information, and the right to withdraw consent where processing is based on consent. To exercise any of these rights, please contact us using the details in Section 12 below. We will respond within the time required by applicable law. To address Personal Information held by your Email Provider, you should also contact the Email Provider directly.
If you are located in the European Economic Area or the United Kingdom, you have the right to lodge a complaint with your local data-protection supervisory authority. If you are located in Canada, you have the right to make a complaint to the Office of the Privacy Commissioner of Canada or the equivalent provincial authority.
9. Children
The Services are not directed to children under the age of 16, and we do not knowingly collect Personal Information from children under that age. If you believe that a child has provided us with Personal Information, please contact us so that we may take appropriate action.
10. International transfers
The Company is established in the Province of Ontario, Canada. Personal Information may be processed in Canada, in the United States, and in other jurisdictions where we or our service providers operate. The data-protection laws of those jurisdictions may differ from those of your jurisdiction. Where required by applicable law, we put in place appropriate safeguards for cross-border transfers of Personal Information.
11. Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the "Last updated" date set out above. If we make material changes, we will provide notice through the Services or by other reasonable means. Your continued use of the Services following the effective date of any update constitutes your acceptance of the updated Policy.
